Life can feel like a constant juggling act, especially when you're balancing a demanding job, a young family, and entrepreneurial ambitions. Add in an 80-mile commute (each way!), and it's enough to make even the most organized person break into a cold sweat.
But what if I told you there was a way to tame the chaos and reclaim control of your time? My secret weapon isn't a magic spell or a genie in a lamp; it's a carefully curated system built on a foundation of powerful tools and intentional workflows. Today, I'm pulling back the curtain on this system, so you can see how it transforms my daily juggling act into a graceful performance.
Notion: The Brain Trust
At the heart of my system lies Notion, my second brain. This digital powerhouse is where I capture everything that fuels my life: projects, areas of focus, resources, archives, and even fleeting ideas. Inspired by Tiago Forte's PARA methodology (Projects, Areas, Resources, and Archive), I've modified a custom template, by Thomas J Frank, that keeps everything organized and accessible. Whether I'm brainstorming a new business venture or jotting down notes from a podcast, Notion is my go-to destination for capturing and processing information.
Zapier & Google Tasks: The Bridge Builders
To ensure seamless workflow, I rely on Zapier to automate tasks between Notion and Google Tasks. This keeps my to-do list constantly updated and readily available, even when I'm on the go. Google Tasks then acts as a bridge to Reclaim.ai, my AI-powered scheduling assistant.
Reclaim.ai: The Time Architect
Reclaim.ai* takes my calendar, Notion task lists, and personal routines into account then craft an "Ideal schedule" that balances my commitments and priorities. The beauty of Reclaim.ai is its adaptability. Life inevitably throws curveballs, but Reclaim.ai adjusts on the fly, rescheduling tasks and optimizing my time as I go. Plus, its Smart 1:1 meeting scheduling tool promises to streamline my future sales calls – another win for efficiency!
Google Calendar & Scripts: Seeing Time in Color
While Reclaim.ai orchestrates the show behind the scenes, I still rely on Google Calendar as the public face of my schedule. A custom script color-codes my entries based on specific tags, giving me a visual snapshot of how my time is allocated across different areas of life. This simple trick has been a game-changer for making mindful choices about where I invest my energy.
Snipd: Capturing Podcast Gems on the Go
My commute used to be a graveyard for forgotten podcast insights. Enter Snipd, my go-to app for capturing snippets of audio at the press of a button. Now, those fleeting moments of inspiration get preserved and exported to Readwise, a haven for all my book highlights, web clips, and podcast snippets.
Reader & Readwise: Refreshing My Mind, One Highlight at a Time
Reader by Readwise serves as my digital library, housing non-Kindle ebooks and allowing me to clip websites and videos for later review. Its video transcription feature even lets me highlight key moments from lectures or interviews. Readwise then takes center stage, prompting me with a daily review of five curated highlights, ensuring I revisit valuable nuggets of information and discard irrelevant ones. This constant refresh keeps my mind sharp and connected to the ideas that matter most.
Shortform: Distilling Wisdom in Bite-Sized Pieces
I recently discovered Shortform, a service that condenses the essence of non-fiction books into easily digestible "mini-lessons." So far, I've only tackled "Getting Things Done" by David Allen, but the insights I gained were worth the annual investment. Shortform is a fantastic way to squeeze the most out of any book, without sacrificing precious time.
Habitica: Gamifying Progress for Fun and Rewards
Even with all these tools, building healthy habits can still feel like an uphill battle. That's where Habitica comes in. This gamified app transforms my daily routines into quests, complete with XP, gold, and loot for my pixelated avatar. It may sound silly, but the dopamine rush from completing tasks adds a layer of fun and motivation to my day-to-day grind.
Bard: My Creative Collaborator
And last but not least, I have Bard. This powerful language model from Google AI helps me bounce ideas, refine my writing, and even check for clarity in my message. This article wouldn't exist without Bard's thoughtful feedback and collaborative spirit. Remember, Bard is most powerful when used actively. Ask questions, spark discussions, and together, we can create content that not only informs but also inspires.
Beyond Tools: The Mindset Shift
While these tools have been instrumental in shaping my productivity system, the real magic lies in my mindset shift. Building this system forced me to confront how I was spending my time and what truly mattered to me. Saying "no" became easier, and prioritizing became second nature. I learned to let go of perfectionism and embrace the iterative process of growth.
Building Your System: A Call to Action
My system is a constantly evolving work in progress, and yours should be too. Don't get bogged down in replicating mine perfectly. Take inspiration from the tools and workflows that resonate with you, and experiment until you find the perfect harmony between technology and your unique way of working. Remember, the best system is the one that helps you unlock your full potential and leads you closer to the life you want to live.
